Job Description / Duties

We are seeking a highly organized and client focused individual to provide comprehensive administrative support to our executive team and manage our client relations. The ideal candidate will possess excellent communication skills, impeccable attention to detail, and the ability to handle a wide range of administrative tasks and personalities efficiently and effectively. Your primary focus is to ensure customer satisfaction and play a critical role in maintaining and enhancing our relationships with our clients, partners, and ensuring the smooth operations of our team.
Key Responsibilities:
1. Relationship Management: Establish and nurture positive relationships with clients, understanding their needs and preferences through excellent customer service to visitors and callers. Act as a liaison between the executive team and internal/external stakeholders, demonstrating professionalism and diplomacy in all interactions.
2. Client Management: Serve as the main point of contact for clients, addressing their concerns, providing information, and handling inquiries promptly.
3. Customer Service: Identify and resolve client issues, complaints, and claims, ensuring an elevated level of client satisfaction and develop effective solutions.
4. Administrative Support: Provide administrative support to the executive team, including calendar and email management, scheduling appointments, travel arrangements, and organizing meetings.
5. Communication Management: Prepare and edit correspondence, reports, and presentations. Manage and prioritize incoming communications, including emails, phone calls, and mail.
6. Facilities Management: Managing office supplies, coordinating with vendors and service providers, emergency preparedness and budget management.
7. Front Desk Management: Greet and welcome visitors, answer, screen, and forward incoming calls. Assist with the preparation of meeting agendas, materials, and follow-up actions, ensuring timely execution and completion.
8. Confidentiality: Maintain confidential information and sensitive documents with the utmost discretion and professionalism.
9. Event Planning: Organize and coordinate events, such as board meetings, conferences, and team-building activities.
10. Project Management: Assist and lead special projects and initiatives compile data as required for various projects and initiatives.
11. Process Improvement: Proactively identify opportunities to streamline processes and improve efficiency within our four locations.
12. CRM Software: Proficient in using CRM and Broker Management tools and other relevant software to manage client information and interactions.
13. Compliance: Ensure our offices comply with health and safety regulations, Errors and Omissions coverage, business licenses, insurance licenses and other regulatory compliance requirements for all four locations.

Qualifications / Required Skills

1. Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
2. Strong proficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
3. Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
4. Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
5. Professional demeanor with strong interpersonal skills and the ability to interact effectively with individuals at all levels.
6. Ability to anticipate needs and proactively address issues to support clients and the team's success.
7. Flexibility and adaptability to changing priorities and deadlines.
8. Positive attitude, proactive approach, and willingness to take initiative.
